The Email Template feature in ReplyCX allows users to create, customize, preview, and test email templates before using them in campaigns. Users can design email templates using HTML code, personalize content with variables, preview the email across different devices, and send test emails to verify the final output.
Navigation Steps
Follow the steps below to access the Email Template Builder:
Log in to the ReplyCX Platform.
Navigate to ‘Settings’
Under the Channels section, click ‘Email’
Select ‘Templates’
The Email Template Builder screen will open.
Creating an Email Template
Once the Email Template Builder screen is open, you can configure the following details:
Template Name:
Enter a unique short name for your email template.
Example: diwali_2026_Code
Note: This helps identify and reuse the template while creating campaigns.
Subject Line:
Add the subject line that recipients will see when they receive the email.
Example: Wishing you a very Happy Diwali Dear #f_name!
Note: You can make the subject line more personalized by mapping variables.
Template Content (HTML Editor)
The Template Content section allows you to create your email using HTML code.
You can:
Design fully customized email layouts.
Add images, buttons, links, and styling.
Insert dynamic variables for personalization.
Create promotional, transactional, or informational email templates.
Variable Mapping
Variables can be used within the email content and subject line to personalize emails for each recipient.
Example Variables:
#f_name
#last_name
When the email is sent, ReplyCX automatically replaces these variables with actual customer data.
Email Preview:
The Preview panel on the right-hand side allows you to view how the email will appear on different devices.
Available preview modes:
Web
Mobile
Tablet
Saving the Template
After completing the template configuration, click “Save Changes”. The template will be saved and can be selected later while creating email campaigns.
Testing an Email Template
ReplyCX provides a “Test This Email” option that allows you to verify the email before using it in a live campaign.
How to Send a Test Email:
Click - “Test This Email”.
A test email window will appear.
Fill in the required details:
Fields | Description |

From Address | Email address from which the test email will be sent. |
To Address | Recipient email address where the test email will be received. |
Variable Mapping | Enter sample values for any variables used in the template. (only if any variables is used) |
Example:
If the template contains: Hello #f_name
You can map: #f_name = John
The test email will display: Hello John
Important Note for Using Images in Email Templates
When adding images to an email template, the image must be hosted on a publicly accessible server before it can be used in the HTML code.
